The boat kitty app for sailing trips

Harbour fees, diesel, the big shop, the taverna in the bay: one person pays, everyone owes. Crewsy runs the kitty so that at the end everyone knows what they transfer to whom, and nobody is hunting for the receipt.

How the kitty works in Crewsy

Add an expense

Whoever paid enters the amount, category and day and photographs the receipt. The photo stays with the entry, even when the slip has long since disintegrated in a trouser pocket.

Split the way it was

Equally between everyone, by shares, by percentage, to the exact cent or with an extra amount for individuals. Whoever wasn't on board yet on Tuesday doesn't pay for Tuesday.

Who owes whom

Crewsy keeps the balances and shows the transfers simplified, with as few payments as possible, or pair by pair. Completed transfers you mark as paid.

Breakdown

By person, category and day: what did the diesel cost, what the harbours, what the food. The figure for the next trip is already there.

Splitwise import

If you've been settling up with Splitwise so far, the skipper imports the export as a CSV file, with expenses and payments.

Who sees the kitty

The whole crew sees the same kitty. Amounts in euros.

Kitty up front or settle up at the end?

Two ways to run the kitty. Both work in Crewsy.

Kitty up front

Everyone pays a fixed amount to the skipper at the start, who pays harbours, diesel and shopping out of it. In Crewsy you enter the contributions as payments to the skipper; the skipper adds the expenses for everyone. At the end the balance shows who still gets something back.

Settle up at the end

Everyone pays whatever comes up and adds it. On the last evening Crewsy shows who transfers what to whom. No cash box on board, no banknotes in the coffee tin.

Kitty without an app: the spreadsheet

A spreadsheet works too: date, what, who paid, amount, for whom. At the end, total divided by heads, and everyone compares it with what they laid out. The spreadsheet breaks in three places: when not everyone is in on everything, when two people enter at the same time, and when six transfers are waiting on each other at the end. That is exactly where Crewsy starts.

Questions about the kitty

What goes into the kitty?
Everything that comes up for everyone during the trip: diesel, harbour and mooring fees, provisions and drinks, gas and water, petrol for the outboard, the final cleaning if it isn't included in the charter price. The charter price itself and the deposit are usually handled separately, before the trip.
Someone is only on board for half the week. How do you split then?
By shares: whoever was on board four days out of seven carries four shares, the others seven. For an individual receipt, say the dinner they missed, you take them out of the split.
Does it work in kroner or pounds?
Crewsy calculates in euros. In the Mediterranean that fits; in Sweden, Denmark or the UK you enter the euro amount your card was charged.
Does the whole crew have to use the app?
No. The skipper can run the kitty alone; anyone from the crew who has joined the trip sees expenses and balances right away.
How is Crewsy different from Splitwise?
Splitwise does money and nothing else. In Crewsy the kitty belongs to the trip, alongside the shopping list, packing list and sea miles, and everyone on board sees the same numbers. Crewsy imports the Splitwise export as a CSV file if you switch.
